Privacy Notice

Luxury Long Stays is the long-stay evaluation of Fifth Arrival, an independent guest-experience consultancy for premium hospitality. This notice explains what happens to the information you choose to share with us. In short: we use it only to reply to you, we never add you to a mailing list, and nothing you share is published or attributed to your property without your written permission.

Who is responsible

Luxury Long Stays and Fifth Arrival are trading names of a sole trader established in Finland. The sole trader is the data controller responsible for the personal data processed through this site and decides how it is used. This notice is governed by the EU General Data Protection Regulation and applicable Finnish data protection law. What we collect

When you submit the enquiry form, we receive the details you provide: your name, your role, your property or venue, its website, the evaluation you are interested in, your message and your work email. We do not ask for a phone number. Providing these details is voluntary, but we need them to identify you and reply; if you leave them out, we may not be able to respond. Our website host and form provider may also process limited technical information, such as your IP address and browser details, needed to deliver, secure and operate the form.

Why we hold it

We use your information for one purpose only: to respond to your enquiry and, where relevant, to discuss a possible evaluation. Our legal basis is our legitimate interest in responding to business approaches made to us. We do not use it for marketing and we do not add you to any list. We do not use your information to make automated decisions about you, and we do not profile you.

Who processes it

Your enquiry is handled by a small number of service providers acting on our behalf. These currently include Netlify, which hosts the website and delivers the enquiry form, and our business email provider, Zoner, so that we can receive, store and reply to your message. We do not sell your information or disclose it for unrelated purposes.

Where your information is processed

Some of these providers may process personal data outside the European Economic Area (EEA). Where that happens, the transfer is based on an adequacy decision or on appropriate safeguards, such as the European Commission's Standard Contractual Clauses. Transfers to certified providers in the United States may rely on the EU-US Data Privacy Framework. You can ask us for information about the safeguard that applies.

How long we keep it

If your enquiry does not lead to an engagement, we normally keep it for up to 24 months after our last exchange and then delete it. If an engagement begins, we keep the relevant contact and correspondence for the duration of the working relationship, and afterwards only where we need it for accounting, contractual, tax or legal-claim reasons. You can ask us to delete your details at any time, and we will do so unless we are required to keep them.

Your rights

Depending on the circumstances, you may have the right to access the information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive a copy of it. Because we rely on our legitimate interest rather than your consent, you have a particular right to object to our use of your information at any time. To exercise any of these, write to info@luxurylongstays.com. If something is not resolved, you can lodge a complaint with the Finnish Data Protection Ombudsman (Tietosuojavaltuutetun toimisto) at tietosuoja.fi, or with the authority in your own country, though we would welcome the chance to put it right first.

Cookies

This site does not use analytics, advertising or tracking cookies. If that ever changes, we will ask for your consent where the law requires it.

Confidentiality

Discretion is central to how we work. Anything you tell us in an enquiry is treated as confidential. Your property is never named, rated, reviewed or identified in anything we make public, and nothing is attributed to you without your separate written permission. We write and post publicly about hospitality in general, and anything we share is kept anonymous and is never presented in a way meant to identify a property.
